What this covers

This policy explains what personal information I collect, why I collect it, how long I keep it and what rights you have.

Information I collect

When you contact me or fill in a form

Your name, email address, business name, phone number if you give it and whatever you tell me about your business.

When you become a client

Contact details, billing information and access credentials for the platforms I manage on your behalf.

When you visit this website

Basic technical information such as pages visited and how you found the site. This is collected through analytics and is not used to identify you personally.

Why I collect it

To reply to enquiries

Legal basis: legitimate interests. You asked me a question and I need your details to answer it.

To deliver Services

Legal basis: performance of a contract.

To meet legal obligations

Legal basis: legal obligation. Tax records must be kept for six years.

To send Marketing Emails

Legal basis: consent. Only if you have opted in and you can opt out at any time.

How Long I Keep It

Enquiries that do not become work: 12 months.

Client records: for the duration of our work together, then six years for tax and insurance purposes.

Marketing contacts: until you unsubscribe.

Platform access: removed within 14 days of a project ending.

Who I share it With

I do not sell your information. I do not share it for anyone else’s marketing.

I use third party tools to run my business. Where those tools process your information, they do so on my instructions:

• Google, for email and file storage
• Cloudflare, for domain and email routing
• My website hosting provider
• Scheduling and design tools used to deliver client work
• My accountant and accounting software

If you are a client, I may also access platforms you own, such as your website, booking system or social media accounts. I only use that access to do the work you have asked for.

Client Data

If you are a client, I may handle personal information belonging to your customers as part of delivering your services. In that situation you remain responsible for that data and I act on your instructions. Where required, this is covered by a written agreement between us.

Cookies

This website uses cookies. Essential cookies keep the site working. Analytics cookies help me understand how the site is used. You can control cookies through your browser settings.

Your Rights

Under UK data protection law you can ask me to:

• Tell you what information I hold about you.
• Correct anything that is wrong.
• Delete your information, where I am not required to keep it.
• Stop using it for a particular purpose.
• Provide it in a portable format.

Email admin@oopsoptimised.com and I will respond within one month.

Keeping It Secure

Two factor authentication is used on all accounts. Access is limited to me. Client data is not stored locally where it can be avoided.

If a breach happens that puts your rights at risk, I will report it to the ICO within 72 hours and tell you directly where required.

Complaints

If you are unhappy with how I have handled your information, please contact me first.

You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Policy Changes

If this policy changes, the updated version will be posted here with a new date.
